Quick Summary
Email Subject Line: "It's Time to Refresh Your Website Content for [Organization Name]"
Sender: Adventist Connect Support Team
Recipient: All active Site Admins associated with the website.
Summary: A friendly, automated maintenance reminder sent to site admins their Frame website has had little to no editorial activity over the past 6 months. It provides an immediate, secure one-time login link so administrators can easily jump in and refresh their web content.
When Does It Go Out?
The system flags websites for this notification only when all of the following criteria are met:
Age of the Site: The site was created and launched at least 180 days ago (newly launched sites have a 6-month grace period).
Notification Cooldown: The site has never received this email, or it has been at least 180 days (6 months) since the last low-usage email was sent.
Activity Score Threshold: The website’s calculated editorial Activity Score is ≤2 (out of 5).
Why Do They Get It?
Adventist Connect monitors website freshness using an automated editorial activity score calculated from actual site edits (such as saving pages, publishing posts, updating announcements, or adding calendar events):
Activity Score Scale: Ranges from
0(no edits) to5(very active).Organization-Adjusted: The score is tailored to the organization's size (Small, Medium, Large) based on membership count:
For example, a medium-sized organization needs regular updates across the previous 2–8 weeks to maintain an active rating.
Why an Activity Score ≤2 Triggers an Email: When fewer than 1–2 edits have been recorded over preceding weeks or months, the platform flags the site as having fallen behind on maintenance.
Why Does It Go Out?
Visitor Experience & Trust: When visitors, prospective church members, or school families visit an Adventist website, outdated calendar dates, defunct service times, or stale announcements create confusion and undermine trust.
Security & Account Awareness: Reminds editors that their site is still active, encouraging them to verify user accounts and ensure leadership details are current.
Frictionless Access: Rather than asking admins to remember old passwords or request a reset, the email includes a direct one-time magic login link to immediately sign them into the Frame website.
How Often Does It Go Out?
At most once every 180 days (6 months) per website.
Once the email is dispatched, a 180-day cooldown timestamp is logged on the website. Even if a site remains inactive, admins will not receive another reminder until at least 6 months have elapsed.
What to Do When You Receive It
When an admin receives this email, here is the suggested action checklist:
Log In to Your Dashboard:
Click the secure one-time login link provided in the body of the email (valid for a single direct session).
Review Critical Information:
Meeting & Service Times: Verify Sabbath school, worship service, prayer meeting, or office hours.
Contact Info & Staff: Check phone numbers, email addresses, pastoral staff, and leadership directories.
Events & Calendar: Remove expired events and post upcoming dates.
Publish an Update:
Add a new bulletin, sermon link, announcement, pastor's message, or event.
Making and publishing edits updates the site's editorial logs and automatically raises the site's Activity Score.
What We Recommend
Establish a Regular Content Schedule:
Dedicate 15–30 minutes once or twice a month (or weekly for bulletin/sermon uploads) to keep your homepage current.
Share the Workload:
You don't have to do it alone. Add other local church or school members as Editors or Contributors in Frame (
Users>Add New) to help manage specific areas (e.g., social events, youth ministry, announcements).
Consider a Basic Site if Maintenance Is Difficult:
If your church or school does not have the capacity to maintain a custom Frame site, you can request a transition to a Basic Site. Basic sites automatically sync address, pastoral staff, and contact details from eAdventist with zero ongoing website maintenance needed.
